Choosing a POS system in the UAE usually starts with hardware: a touch screen, a receipt printer, a card machine. The more important question is what happens after the sale. If your till does not talk to your stock and your books, someone ends up re-typing the day's sales, chasing stock differences and fixing VAT figures at month-end. This guide covers what a POS system UAE businesses rely on needs to do, the VAT and e-invoicing rules that apply, and how Odoo POS handles shops and restaurants.

What is a POS system, and why does integration matter?

A POS (point of sale) system records sales at the counter, takes payment and issues a receipt. Modern POS software also tracks stock, customers, staff and daily cash, which is why the software matters more than the machine it runs on.

Integration is what separates a till from a business system. When the POS is connected to inventory and accounting, each sale reduces stock in real time, updates the books and feeds the VAT return. When it is not, every sale is effectively recorded twice: once at the till and again in the accounting system. For a single shop that is tedious. For several branches it becomes a full-time job.

POS system UAE checklist: what to look for

Before comparing brands or prices, check each option against these points:

  1. VAT-compliant receipts with your TRN, the VAT amount and the words "tax invoice", plus the ability to issue a full tax invoice when a business customer asks for one.
  2. Live stock updates, so every sale, return and transfer changes inventory immediately, across all branches.
  3. Accounting integration, so daily sales, payments and VAT post to your books without re-entry.
  4. Offline mode, so the till keeps selling if the internet drops for a few minutes.
  5. Payment options: cash, card terminals and QR payments, with a terminal provider that operates in the UAE.
  6. Multi-branch support, with central pricing and promotions but separate cash sessions per shop.
  7. Arabic and English on screens and receipts where your customers need it.

Points 2 and 3 are where options differ most. Some standalone POS products handle the till well but leave stock or accounting to a separate system, so ask each vendor to show a sale flowing through to inventory and the books.

What VAT rules apply to POS receipts in the UAE?

Most retail sales can use a simplified tax invoice. According to the FTA's guidance on tax invoices, a simplified tax invoice can be issued when the customer is not VAT registered, or when the customer is registered and the sale is AED 10,000 or less including VAT.

A simplified tax invoice must still show the words "tax invoice", the supplier's name, address and TRN, the date, a description of what was sold, and the total amount and VAT charged. Your POS should print all of this by default. If a VAT-registered business customer buys above AED 10,000, the POS needs to produce a full tax invoice instead.

Does e-invoicing apply to POS sales?

Not to most consumer sales, at least for now. Under the UAE e-invoicing framework, B2C transactions are exempt until further notice, so a normal receipt to a walk-in customer stays outside the mandate.

Sales to businesses are different. When your shop sells to a company, for example a contractor buying supplies or a restaurant buying wholesale, that sale is B2B and falls under e-invoicing once your phase goes live. A POS that can only print receipts will not be enough for those customers. It needs to create a proper invoice that flows through your accredited service provider. How does Odoo POS work?

Odoo POS is a point-of-sale app that runs in a web browser and connects directly to Odoo's inventory and accounting. According to Odoo's POS documentation, it is built for shops and restaurants, runs on any device, and keeps working during temporary network outages.

The main features include:

  • Hardware support: receipt printers, barcode scanners, scales, customer displays and payment terminals, connected directly or through an IoT box.
  • Payments: cash, card terminals from several payment providers, QR code payments and customer accounts. Check which terminal providers are available in the UAE before you buy hardware.
  • Sessions and cash control: each till opens and closes a session, so cash differences are visible per shift and per employee.
  • Receipts and invoices: a receipt by default, or a full invoice for business customers.
  • Loyalty and promotions: discounts, loyalty programs and combo products.
  • Self-ordering: kiosks or table ordering for businesses that want customers to order themselves.

Because sales post straight into Odoo Inventory and Accounting, stock levels, daily takings and VAT are up to date when the shop closes.

Can Odoo POS run a restaurant?

Yes. Odoo POS has a restaurant mode built for table service and kitchens. It includes floor plans and table management, kitchen and preparation displays so orders go straight to the right station, and integrations with online delivery platforms.

For restaurant groups, the real advantage is what sits behind the till. Ingredients can be tracked in inventory, purchasing can be based on actual sales, and each outlet's takings post to accounting automatically. That makes food cost and branch profitability visible without a separate spreadsheet.

POS system UAE costs: what you actually pay for

The total cost of a POS has four parts, and comparing only one of them is the most common buying mistake:

  • Hardware: terminals, printers, scanners, cash drawers and card machines.
  • Software: a monthly or annual subscription, or a one-time licence.
  • Payment processing: fees charged by your card terminal provider on each transaction.
  • Setup and integration: connecting the POS to your stock and accounts, importing products and training staff.

  • A price change across all branches, made once from head office.
